IT Administrator (Stockholm) - Full-Time
YOUR MISSION AT VOI
As an IT Administrator at Voi, you strengthen our internal IT function by combining hands-on operational support with solid project coordination, documentation, and learning and development skills. You keep IT projects on track, ensure processes and knowledge are well-documented and accessible, and help both the IT team and the wider organisation build capability. You work with a good degree of independence, owning workstreams, coordinating across teams, and proactively improving how the IT function operates.
In this role, you will:
Provide timely, high-quality IT support to employees globally, handling tickets and walk-ins with clear communication and consistent follow-through.
Coordinate and drive IT projects from planning through delivery, managing timelines, dependencies, stakeholder communication, and follow-up.
Own and maintain IT documentation, knowledge bases, and internal guides, keeping them accurate, up to date, and user-friendly.
Support learning and development by creating training materials, running onboarding sessions on IT tools, and identifying knowledge gaps and sharing opportunities.
Partner with colleagues across departments to understand their needs, gather feedback on IT services, and translate that into practical improvements.
Help maintain and administer core IT systems such as JumpCloud, Google Workspace, Slack, and Confluence, following and improving established standards.
Support IT onboarding and offboarding processes so they remain robust, well-documented, and consistently executed.
Identify inefficiencies in IT workflows and processes, and propose and implement practical improvements, including in automation workflows.
Contribute to IT compliance and security initiatives by helping maintain standards, supporting audits, and keeping policy documentation current.
WHAT YOU NEED TO EMBARK
You are a structured, collaborative and curious IT professional who enjoys combining day-to-day operational support with longer-term improvements. You communicate clearly, are comfortable coordinating across teams, and take pride in making processes, documentation and tools easier for others to use.
We believe you have:
Experience coordinating or managing projects in an operational environment, owning timelines, following up on actions, and communicating progress to stakeholders.
Strong documentation and knowledge management skills, with the ability to create clear, well-structured guides, process documents and training materials.
Working knowledge of IT support, endpoint management, and SaaS administration.
Familiarity with tools such as Google Workspace, Slack, Jira, and Confluence.
Understanding of identity and access management concepts (e.g. SSO, SAML, SCIM) and how IT systems integrate.
Experience with low-code/no-code automation tools (e.g. n8n, webhooks, APIs) and an interest in supporting, improving and creating workflows.
Comfort working across Mac, Linux, and PC environments.
Excellent written and verbal communication skills, with the ability to adapt content for different audiences.
A genuine interest in helping others learn and develop through training, knowledge-sharing and better self-serve resources.
The ability to prioritise across multiple workstreams and balance operational tasks with project delivery.
Don’t meet every requirement? If you are excited about this role and our mission, and have relevant, transferable skills, we encourage you to apply – even if you don’t check every box.
